Walk-in cooler planning: sizing, placement, and what drives cost

Plan a walk-in in this order: size it from your delivery schedule and menu volume, place it where receiving and prep can both reach it, choose the refrigeration system your building can support, then let those decisions set the budget. Cost is driven mostly by size, refrigeration system type, panel construction, and floor choice, in roughly that order. Operators who start with a dollar figure and work backward usually end up with a box that is too small within a year. Start with how much product you actually hold at peak, and the rest of the decisions fall into line.

Size from your delivery schedule

The biggest sizing variable is not seat count. It is how often trucks arrive. A kitchen with daily deliveries holds far less inventory than one that receives twice a week. List what sits in the cooler the day before your biggest delivery, translate it into shelving footage, and add growth room. Remember that aisles, door swing, and airflow clearance eat a meaningful share of the footprint. A packed walk-in with no air circulation runs warm in the middle no matter what the thermostat says.

Placement decides your labor cost

Every step between the receiving door and the walk-in, and between the walk-in and prep, repeats thousands of times a year. Put the box where both trips are short. Indoor placement is simpler and keeps staff out of the weather. Outdoor placement frees interior square footage but adds weather protection, lighting, security, and a longer walk. If you go outdoor, plan the path: staff will not properly rotate stock in a box that is unpleasant to reach.

Choose the refrigeration system deliberately

Self-contained systems arrive as one package and simplify installation. Remote systems put the condensing unit outside or on the roof, which removes heat and noise from the kitchen but adds line runs and installation complexity. Where the heat of rejection goes matters: a condensing unit dumping heat into a cramped kitchen makes the whole room work harder. Talk through options with your refrigeration contractor early, and confirm any placement or drainage requirements with your local code official.

Floors, doors, and details

Whether you need an insulated floor depends on the slab beneath and what the box holds. Freezers generally require one. Cooler applications vary, so confirm with your installer and local code official. Doors deserve attention: a walk-in door is the hardest-working door in the building. Spec heavy-duty hinges, a working closer, strip curtains if traffic is constant, and gaskets your team can actually replace. Interior lighting, view windows, and monitoring alarms are inexpensive during construction and painful to add later.

Plan for the day it fails

Ask what happens when the system goes down on a summer weekend. Temperature monitoring with alerts, a service provider who answers after hours, and a written plan for moving product are worth settling before you need them. Many kitchens also split product between the walk-in and reach-ins so a single failure never strands everything.
